Front Desk – 30% (will perform some non-confidential HR functions while working the front desk)

· Greets vendors, customers, job applicants and other visitors.

· Arrange for transportation services when needed.

· Answers multi-line phones, page employees, greets visitors and issues visitor badges

· Perform general office duties including organizing mail, making copies, organizing business meetings and luncheons, and handling incoming/outgoing mail and overnight packages

· Perform other duties as assigned by Controller or Human Resources Manager

· Order flowers and fruit baskets for employees and family members and retirement gifts

· Distribute company discounts and coupons as needed

· Assist with booking hotels and travel as needed

· Order supplies and business cards as needed

 

Human Resources Assistance – 70%

General

· Provide weekly, monthly, quarterly and year-end reports as needed

· Complete verification of employment requests

· Stay current on FMLA, DOL and other employment regulations

· Attend Human Resources Department meetings as scheduled

· Participate in community and SHRM outreach as requested

· Manage and maintain files for tuition reimbursement and continuing education reimbursements for location in accordance to policy

· Assist Human Resources Manager with compiling employment, applicant, recruiting, Good Faith Efforts, and training records for Affirmative Action Program

 

Recruiting and Onboarding

· Manage applicant tracking system by creating, seeking approval for and posting requisitions

· Screen and refer qualified applicants to hiring manager for review and potential interviews

· May provide initial screening for manager to obtain work history, education, training, job skills and salary requirements

· Work closely with Hiring Managers to determine specific hiring needs and applicant qualifications

· Work with Hiring Managers and Human Resources Manager to determine appropriate recruiting plan for each requisition

· Post advertisements with recruiting resources

· Conduct reference and background checks

· Send out approved offer letters and set up orientations, drug screens and physicals, if applicable

· Assist with conducting new-hire orientation and on-boarding

· Assist applicants with applicant tracking system

· Make and distribute badges for new and existing employees or contractors

 

Benefit Administration

· Assist with answering employee questions with various employee benefit programs, such as medical, dental and vision insurance, Colonial plan, STD, LTD, AD&D, basic life insurance, voluntary life insurance, 401k, and flex spending.

· Assist with benefit orientation and provides employees assistance with benefit enrollment

· Respond to 401(k) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts

 

Leave Management

· Assist with leave-of-absence requests and disability paperwork: medical, disability and FMLA

 

Employee Relations

· Assist with maintaining personnel files and filing as needed

· Assist with the performance evaluation process and review performance evaluations of employees

 

Other Duties

· Assist with coordinating United Way campaign and other company events

· Work collaboratively with all functions and departments of the business, such as: administrative, human resources, finance, operations, purchasing, etc. in carrying out duties

· Responsible for assuring adherence to sound business practices, ethical behavior, corporate and local policies and applicable laws

· Perform other duties as assigned

High school diploma plus at least a year of human resources required. Excellent communication skills, effective problem-solving, and strong attention to detail also required.
